Request to ALL Convention Promoters/Groups
 
Guys, for the love of God or whomever you worship, Please put up the schedules at least 8 weeks in advance for international travelers. I cannot tell you how many times I have booked a flight to save a few hundred dollars early only to find out I have to spend a few hundred more that I don't need to because the dates of the conventions are misleading. Misleading = date range that includes a day on EITHER side that there is no actual show floor. Those of us getting reimbursed for shows are usually covered for the actual show floor days. So, if you say it ends on X date and that day is full, I can stay that full day and night and leave in the morning. If you say it starts on X date I don't want to find out after I've booked the flight that it only includes, for example, golf and a party.

I get in early or stay late and pay for it sometimes because I chose to for sure. I would appreciate it if budgeting the extra expenses is my own choice, not a necessity because the schedules are not posted early enough.

Thank you in advance for your consideration.

Anyone else have this dilemma or am I the only one that tries to book flights in a timely manner to save the company cash?

p.s. this is not directed at any one convention group, it's happened at some point over the years with all of them.

Julie, I can't agree with you more. And every trip is an International one for me.

I find the EU Summit does a good job of getting their schedules up early as do the AVN people. Phoenix tends to be a little late, but it's the same schedule every year, so you can know what to expect.

Every show will show 4 days, while the 4th day is almost always the getaway day, with no significant action going on. That's been my experience and what I pretty much plan on.

You got some valid points there. I will give it some thought on how to do that better in the future.
In our case, the leaving day, where there is only the wine tasting, I assume we could take out of the announced dates.
As for our "entertainment day" I would think a lot of employees actually like to see it included in the show dates - which makes it easier to get the day signed of. And some people have actually confirmed to me in the past, that they actually did great business during our golf, karting and lunch events - so it is not all fun and play - also work to some people. Every person does their business differently in the end.

As Bruce mentioned, from our side, I try to kill any confusion by immediately putting up a show schedule when announcing a new show, that states our usual 4 days: "Entertainment Day", "Show Day 1", "Show Day 2" and "Leaving Day" - again, there are good arguments to kill the "Leaving Day" from the show schedule the next time... We will give it some though.

And now - in order to erase any confusion:

TES 2014 PRG:

22. September 2014 - Entertainment Day
23. September 2014 - Show Day 1
24. September 2014 - Show Day 2

And I will not mention the Leaving Day on September 25th here in any way :)

thanks so much Andreas, we're looking forward to your show! I have had some of my best meetings a day before a show. When it's time to leave I'm burnt to a crisp and ready for my own bed :)

I appreciate you putting up the exact dates for Europe as that one can be really tricky coordinating travel between the various shows happening during that time. See you soon!

To my best current knowledge, the idea this year is that WMA finishes off on the 22nd in the morning with a breakfast, then there will be a coordinated hand-over flight at noon (e.g.: KLM Royal Dutch Flight 1355, September 22nd, 2014, Leaving Amsterdam at 12:10pm, Arriving in Prague at 01:40pm) and then we will start our Entertainment Day (YNOT Karting, CyberSocket Party, etc.) on September 22nd, 2014 around 03:30pm, so that people can make optimal usage of their time this year, without any unused time in between the 2 shows.

OMG, you even arranged the perfect flight timing from show to show? that's incredible! That is what takes so much time when booking all the hops...trying to decide when, how, which airline. This year planning will be a breeze :thumbsup
